What do I do in a Birthday Party as an Event Emcee?
The role of an Event Emcee (Master of Ceremonies / Master of Ceremony ) in a birthday party is to host the complete event in a smooth flow from start to end and coordinate with the other performers and make sure that everything goes on time without lag. To know more about the roles, please read my previous article “Role of the Event Emcee in a birthday party” by clicking here.
In this article I would like to discuss what exactly I do in my birthday party events.
I’m Thamizharasan Karunakaran, an Event Emcee based at Chennai. I have been hosting events like Birthday Parties, Corporate Team Building Activities, Conferences, Out Bound Training, Product Launches, Dealers Meet, Mall Activities, Wedding Receptions, Sangeet, Get togethers, Cricket Matches, Quiz Shows, etc. in Bengaluru, Chennai and other parts of Tamilnadu. I have also planted the seeds to expand across India.
What time does a birthday party start?
When it comes for birthday party, it usually happens in the evening. Usual time of cake cutting is 7.45pm to 8pm and guests start walking in from 6.30 or 7pm. The work of Event Emcee starts when the maximum crowd has assembled. Once everyone is settled, the Event Emcee takes the stage, welcomes the guests and conducts games till cake cutting. This has been the usual way of hosting an event.
How do the guests arrive for the birthday party?
I did some study to find out what else can be done to make the event more entertaining and engaging. I found that though the cake cutting time is 8pm, some of the guests come too early, probably by 6.30 and they feel bored till majority of their friends or relatives arrive. So I decided to engage these audience as and when they enter the birthday party hall. That’s how I found the table games.
What do I do in Table Games in a birthday party?
My motto in a birthday party is to engage even if single person walks in. I didn’t want to wait till majority of the audience assemble and then I take the stage. So I started finding a few table games where even a single player can play some games once they arrive at the party hall. At the same time two players and more as well can play these games. The props I use are playing cards, rope, balls, paper cups, puzzle board, caps, ladles, etc. I would be conducting these table games till majority of the audience arrives and once they have arrived I take the stage and start the show formally.
What are my main games for a Birthday Party before the cake cutting?
Once I take the stage I formally welcome the guests on behalf of the birthday baby and his/her parents. I would inform the audience the flow of the event like what we are going to do for next 1 hour and when would be the cake cutting and dinner. I would inform the guests to be prepared to have fun by taking part in the games. I start with initial Ice breaker games where everyone would be able to participate in the games sitting in their places. After a couple of Ice breakers I invite the kids on stage and conduct a few games for them. Then I invite the elders on stage and conduct few simple games for them. If I still have time I conduct a few two player games on stage where it would be like battle. The players would be thrilled to play these games and those who watch the games would be enjoying watching the battle.
What do I do during cake cutting in a birthday party?
Once the cake is ready I wrap up my last game and inform all the kids to come on stage. I check with the birthday kid’s parents about the important relatives and friends who are needed on stage. I call them in mic and make sure they have assembled on stage. Out of tension and excitement, parents usually forget to call the important people on stage. Out of my experience I understand this and probe the parents about the important people and I make sure they are called on stage. I make sure that the kids don’t surround the cake and hide the photographer. Photographs are memories; so we have to be alert while taking pictures and make sure that the moments are captured beautifully.
What do I do after the cake cutting in a birthday party?
Once the cake cutting is over along with the birthday song played on the DVD player, I call the kids to sing the birthday song live in mic. This would give a great feel for the birthday kid and the parents. And then I encourage the elders to shower their blessings for the birthday kid and make them speak few words in mic blessing the kid. After this if they still have time, I call them for a few games again at the table.
Here is the summary of my way of hosting a birthday party:
- I reach the venue 30 minutes before the event start time.
- I get a table and arrange my games properties on the table and I’m ready to start games for whoever comes in.
- Usually birthday invite would say it starts at 7pm and ideal time for cake cutting is 7.45pm to 8pm.
- From 6.30 to 7pm I would be conducting games near this table.
- By 7pm I would take the main stage and welcome the guests and would conduct main games on stage till 7.45pm
- Then I initiate the cake cutting and once the cake cutting is over, I inform the guests about the dinner and also keep them informed that I would be available for games near the table till 9pm.
- I would continue conducting games near the table till 9pm.
